Challenge
The whole rental operation, around 190 properties and 190 tenants, lived in a single macro spreadsheet: 30 tabs, hundreds of formulas and VBA code, shared on Google Drive. Several people needed the same file at the same time, causing conflicts. There was no history or audit trail, and invoices were e-mailed by hand.
Solution
We developed a custom module on Odoo 19 Community for properties, contracts, charges and expenses. Monthly charges are generated in batch, the boleto and PIX QR code are issued through the bank's API and payments are reconciled automatically once confirmed. For properties handled by real-estate agencies, the system reads each agency's PDF statements and matches them to the charges. A dashboard shows the state of the portfolio, and the migration carried over the spreadsheet's full history. Delivered on dev, test and production environments.
